1. Introduction and Acceptance of Terms
Welcome to O-Prints. These Terms and Conditions govern your use of our website and the printing products and services we provide.
By accessing our website, requesting a quotation, submitting a printing order, or purchasing our services, you agree to these Terms and Conditions and our Privacy and Cookie Policy, subject to applicable law.
Please read these terms carefully before placing an order. If you do not agree with them, you should not use our website or services.
These terms apply to orders placed online, by email, by telephone, or in person, unless a separate written agreement states otherwise.
O-Prints may update these Terms and Conditions periodically. Changes will be published on our website and will generally apply to orders placed after the changes take effect. The terms agreed upon for an existing order will continue to govern that order unless otherwise agreed or required by law.
2. Placing an Order
Customers are responsible for providing accurate information when submitting a printing order.
Depending on the project, we may require the following information:
The files or artwork to be printed.
Finished dimensions and quantities.
Paper, material, and finishing specifications.
Colour requirements and other production instructions.
Delivery or collection preferences.
Contact and billing information.
Before production begins, O-Prints may review submitted files to identify potential problems with dimensions, file formats, resolution, fonts, colours, or other technical specifications.
If a file needs correction or additional work, we will communicate the issue and any applicable charges before proceeding with that additional work.
An order is considered accepted when O-Prints confirms it, subject to any outstanding requirements for payment, file preparation, or written proof approval.
Custom printing orders may not enter production until the required files, payment, specifications, and approvals have been received.
3. Pricing and Payment
All prices will be quoted in Canadian dollars unless otherwise stated.
Unless specified in the quotation, prices exclude applicable taxes, shipping, delivery, and handling charges.
Quotes are based on the specifications provided by the customer. Changes to the requested size, quantity, artwork, materials, finishing, or other requirements may affect the final price.
If additional work becomes necessary, O-Prints will communicate the applicable charges before proceeding.
Unless different payment arrangements have been approved in writing, payment in full is required when the order is accepted. Production may be delayed until payment has been received.
O-Prints reserves the right to correct genuine pricing or description errors before accepting an order. If a change materially affects a confirmed order, we will contact the customer to agree on an appropriate resolution.
4. Order Cancellation Policy
We understand that circumstances can change after an order is placed. However, custom printing may involve design preparation, proofing, material purchases, and production costs.
The following cancellation fees are proposed for O-Prints orders:
Before a proof has been sent: $10.00 cancellation fee.
After a proof has been sent but before customer approval: $25.00 cancellation fee.
After final proof approval: Cancellation will generally not be available once production has begun, because materials and production resources may already have been committed.
These fees apply only where legally permitted and subject to any mandatory rights under applicable law.
To request cancellation, contact info@ooprints.ca as soon as possible. Please provide your order number and explain that you wish to cancel.
O-Prints will confirm whether cancellation is possible and advise you of any applicable charges before processing the request.
Refunds and Store Credit
Where a refund is appropriate, O-Prints may offer a reprint, account credit, or another agreed resolution, subject to applicable law.
Where applicable law requires a monetary refund, that requirement will take precedence over any store-credit-only policy.
Approved proofs, customized products, and work already in production may limit the available cancellation options, but nothing in this policy removes rights or remedies that cannot legally be excluded.
5. Additional Fees
Additional charges may apply when a customer requests work beyond the scope of the original quotation.
The following fees are based on the supplied policy template and should be confirmed by O-Prints before publication.
Service Proposed fee
Additional hard-copy proof, 8.5 × 11 inches, per side $10.00
Approved artwork alterations $100.00 per hour, with a 30-minute minimum
Additional file reprocessing or re-RIP $10.00 per file
PDF proof for business card orders $5.00
Multi-page documents, including catalogues, may require additional file-processing charges.
Other fees may apply to unusual production requirements, incompatible files, extensive artwork changes, special finishing, or additional services.
We will explain applicable charges to customers before beginning the additional work.
No additional charge will be imposed without an appropriate contractual basis or other authorization permitted by law.
6. Artwork and File Preparation
O-Prints accepts digital files for printing, subject to the technical requirements of the product and printing process.
PDF is generally the preferred file format. Other formats may be accepted depending on the project and the software available.
Customers are responsible for supplying files that are suitable for the requested printing specifications.
For the best possible results, we recommend that customers:
Confirm the finished print dimensions before submitting files.
Use sufficiently high-resolution images.
Embed or outline fonts where appropriate.
Check spelling, contact details, layout, and page order.
Use appropriate colour settings for the intended printing process.
Include bleed and crop marks when required by the product specifications.
Files that require modification, conversion, or additional preparation may incur extra charges.
O-Prints will inform the customer when a file presents a problem that may affect the printed result.
We cannot guarantee identical results from every software application, file format, or colour profile. Some differences may occur because of technical limitations in file conversion, printing equipment, paper, and materials.
Customers should contact us before ordering if they have specialized requirements or need confirmation that a particular file format can be accepted.
7. Proofs and Customer Approval
Depending on the order, O-Prints may provide a digital proof, a printed proof, or another suitable representation of the proposed finished product.
Proof timing will depend on the requirements of the project, the files supplied, and available production capacity. Any timing communicated for a particular order is subject to the agreed quotation and applicable circumstances.
Customers must carefully review their proofs before approving them.
Please check the following details:
Spelling, grammar, and punctuation.
Telephone numbers, email addresses, and website addresses.
Colours, images, and logos.
Dimensions and orientation.
Page order, folding, and binding requirements.
Any other instructions relevant to the finished product.
Written approval is required when specified by O-Prints. Email approval may be used for this purpose.
Once a proof is approved, O-Prints will proceed according to the approved specifications.
Changes requested after approval may require additional charges and may affect the expected completion date.
If a customer elects to proceed without reviewing a proof, the customer accepts responsibility for errors that were present in the supplied files and that a reasonable review could have identified.
This provision does not exclude responsibility for printing errors or other failures attributable to O-Prints.
8. Customer-Supplied Proofs and Mockups
For some projects, customers may need to provide a physical proof, colour reference, or working mockup before production.
Mockups may be particularly important for products involving multiple pages, double-sided printing, folding, binding, or specialized layouts.
A working mockup should clearly show page order, orientation, folding, binding, and other relevant production details.
If a mockup or reference proof is required, O-Prints will communicate this requirement before proceeding.
Where a customer declines to provide a requested reference or mockup, the production result may be affected. O-Prints will explain any material limitations before proceeding.
9. Colour Accuracy
We make reasonable efforts to reproduce colours as accurately as the selected printing process allows.
However, exact colour matching cannot always be guaranteed.
Differences may occur between screen displays, digital proofs, printed proofs, and the final printed product because of variations in monitors, colour profiles, inks, paper, materials, lighting, and printing technology.
A colour displayed on a computer or phone screen may look different when printed.
Customer-supplied proofs may also differ from the final result because they may have been produced using different equipment, materials, or colour settings.
Where exact colour matching is important, please discuss your requirements with O-Prints before approving production. Additional proofing or specialized colour-matching services may involve additional charges.
10. Returns, Defects, and Order Problems
O-Prints aims to provide accurate, high-quality printing and reliable customer service.
If you receive an order that appears defective or does not match the agreed specifications, please contact us promptly.
We ask customers to report defects or order problems within 10 calendar days of receiving the order, where possible, so that we can investigate the issue efficiently.
Please provide:
Your order number.
A description of the problem.
Photographs showing the affected materials, where appropriate.
Any other information reasonably needed to assess the issue.
Our team will review the complaint and determine an appropriate resolution based on the order specifications, the nature of the defect, and the available evidence.
Depending on the circumstances, a resolution may include:
Reprinting the affected materials.
Issuing store credit.
Providing an appropriate refund.
Agreeing on another reasonable solution.
If we need to examine or retrieve defective products, we will explain the return procedure and any applicable shipping arrangements.
Where a defect is confirmed, responsibility for reasonable return shipping costs will be assessed in accordance with the circumstances and applicable law.
The 10-day reporting period is intended to help us resolve problems promptly. It does not eliminate any mandatory rights or remedies available under applicable law.
Rush Orders and Special Services
Rush printing, expedited shipping, and special finishing services may involve separate charges.
The treatment of these charges when an order is defective, delayed, or cancelled will depend on the circumstances, the agreed quotation, and applicable law.
Direct Mail Services
Direct mail orders may involve printing, addressing, sorting, postage, and third-party mailing services.
Problems involving direct mail services will be reviewed individually because their resolution may depend on which stage of the process was affected.
Please contact O-Prints as soon as a problem becomes apparent.
11. Turnaround Times
O-Prints will communicate the expected production time for an order when sufficient information is available.
Turnaround times are estimates unless a specific written commitment states otherwise.
Production timing may be affected by file preparation, proof approval, order complexity, materials availability, finishing requirements, equipment issues, staffing, or other circumstances.
Unless otherwise agreed, the production period begins when the necessary files, specifications, payment, and final approvals have been received.
Additional changes after approval may affect the original estimate.
Delivery time, where applicable, is separate from production time.
Customers with urgent or date-sensitive requirements should discuss those requirements with O-Prints before placing an order. We will advise whether the requested schedule appears achievable.
We do not guarantee an estimated completion or delivery date unless that commitment has been expressly agreed in writing.
Any delay will be handled in accordance with the agreed order terms and applicable law.
12. Shipping, Delivery, and Collection
O-Prints will arrange shipping, delivery, or collection according to the customer's order and the available service options.
Customers are responsible for providing accurate delivery information and ensuring that someone is available to receive the order where necessary.
Incorrect addresses or incomplete delivery information may result in additional charges or delays.
Where a third-party carrier is used, delivery schedules may be affected by circumstances outside O-Prints' control.
If an order is delayed, lost, damaged in transit, or delivered incorrectly, please contact us so that we can investigate and, where appropriate, work with the carrier to resolve the issue.
Any exclusions or limitations relating to shipping and delivery are subject to applicable law and do not remove rights that cannot legally be excluded.
Additional shipping or handling charges will be communicated before the order is finalized.
13. Customer Content and Intellectual Property
Customers are responsible for ensuring that they have the necessary rights or permissions to reproduce the materials they submit for printing.
This includes photographs, logos, artwork, written content, trademarks, copyrighted material, and other protected designs.
By submitting files to O-Prints, you confirm that you own the relevant rights or have appropriate permission to have the materials reproduced.
You authorize O-Prints to use the submitted files only as reasonably necessary to prepare, produce, fulfil, and support your printing order, subject to our Privacy and Cookie Policy.
Submitting files does not transfer ownership of your intellectual property to O-Prints.
O-Prints may refuse an order where there is a reasonable concern that the requested work would violate applicable law or another person's intellectual property rights.
Customers may be responsible for claims arising from the unauthorized use of materials they supply, to the extent permitted by law.
O-Prints will not knowingly reproduce unlawful material or material that it reasonably believes infringes another party's rights.
14. Ownership of Website Content
Unless otherwise stated, the text, graphics, logos, images, designs, branding, and other materials published on the O-Prints website are owned by O-Prints or used with permission from their respective rights holders.
These materials may be protected by copyright, trademark, and other intellectual property laws.
You may access our website and use its content for ordinary personal or business browsing purposes.
You may not reproduce, distribute, modify, publish, sell, or commercially exploit our website content without the permission of the applicable rights holder, except where permitted by law.
Our permission to use our website does not transfer ownership of its content or intellectual property to you.
15. Acceptable Use of Our Website

Attempt to disrupt our website or services through automated or other abusive activity.
Use our website to send unauthorized advertising or spam on behalf of O-Prints.
We may restrict or terminate access where we reasonably believe that a user has violated these terms, subject to applicable law.
16. Right to Refuse or Suspend an Order
O-Prints reserves the right to refuse, suspend, or discontinue an order when there is a legitimate reason to do so.
Reasons may include suspected fraud, unlawful content, intellectual property concerns, unsafe production requirements, inability to produce the requested item, or failure to provide required information or payment.
Where an order has already been paid for, we will determine the appropriate next steps, including any applicable refund, in accordance with the circumstances and applicable law.
We will not use this provision to avoid obligations that cannot legally be excluded.
17. Website Information and Errors
We make reasonable efforts to keep our website information accurate and current.
However, the website may occasionally contain typographical errors, omissions, or inaccuracies relating to descriptions, prices, product availability, or other information.
Where an error affects a proposed or confirmed order, O-Prints will address the issue and communicate with the customer as appropriate.
We may update website content, service descriptions, prices, or availability from time to time.
Changes to website information do not automatically alter the agreed terms of an existing order.
18. Disclaimer and Limitation of Liability
We make reasonable efforts to maintain our website and provide reliable printing services.
However, website content and availability may occasionally be affected by technical issues, maintenance, interruptions, or other circumstances.
To the extent permitted by law, O-Prints is not responsible for losses arising solely from temporary website unavailability or circumstances outside its reasonable control.
Nothing in these Terms and Conditions excludes or limits any responsibility, warranty, consumer right, or legal remedy that cannot lawfully be excluded or limited.
For printing orders, any limitation of liability must be interpreted consistently with the agreed order specifications and applicable law.
We will not rely on this section to avoid responsibility for obligations that legally remain ours.
19. Indemnity
You are responsible for ensuring that the files and materials you submit can lawfully be reproduced.
To the extent permitted by law, you may be responsible for reasonable losses or costs arising from your unauthorized submission of material that infringes another person's intellectual property rights or from your unlawful use of our website.
This provision does not apply to the extent that a claim or loss results from O-Prints' own wrongdoing or where applicable law prohibits such a limitation or allocation of responsibility.
20. Third-Party Websites and Services
Our website may contain links to third-party websites or use third-party services to support payments, delivery, file handling, or other business functions.
These external services may operate under their own terms, privacy policies, and security practices.
O-Prints does not control all third-party websites or services and cannot guarantee the accuracy or availability of their content.
A link to a third-party website does not necessarily represent an endorsement of its products, services, or policies.
Customers should review the applicable terms before using external services.
21. Privacy
Your use of our website and services is also subject to our Privacy and Cookie Policy.
That policy explains how we collect, use, protect, retain, and share personal information, including information associated with printing orders and submitted digital files.
You can review the policy on the O-Prints website at www.ooprints.ca.
For privacy questions, please contact info@ooprints.ca.
22. Events Outside Our Control
Certain events may affect our ability to produce or deliver an order on the expected schedule.
These may include severe weather, transportation disruptions, equipment failures, supply shortages, power interruptions, labour disruptions, emergencies, or other circumstances beyond our reasonable control.
If such an event affects your order, we will take reasonable steps to communicate relevant information and discuss available options.
The treatment of cancellations, refunds, credits, or additional charges will depend on the circumstances, the agreed order terms, and applicable law.
23. Governing Law and Disputes
These Terms and Conditions are governed by the laws applicable in Ontario, Canada, subject to any mandatory legal requirements that apply to the transaction.
Disputes relating to our website or services will be addressed in accordance with applicable law.
Where court proceedings are appropriate, the courts with proper jurisdiction in Ontario may hear the dispute, subject to mandatory venue and consumer protection rules.
Nothing in this section prevents a customer from exercising a statutory right to bring a claim before a court or tribunal that has jurisdiction under applicable law.
24. Changes to These Terms
O-Prints may revise these Terms and Conditions as its services, operating procedures, or legal requirements change.
The current version will be published on our website with its effective date.
Customers should review the terms that apply when placing an order.
Where a material change affects an existing agreement, we will address that change in accordance with the agreement and applicable law.
